What the Milepost iPhone app and this website do with your information. In short: your mileage log stays with you.

The short version

  • Milepost has no account and no servers. We, TPS505 Ltd, don't receive your trips, your location or anything else you put in the app.
  • Your log is stored on your iPhone and, if you use iCloud, in a private database in your own iCloud account. We can't access it.
  • There are no analytics, no adverts, no tracking and no third-party code in the app.
  • To find place names and postcodes, show maps and work out road distances, the app uses Apple's map services. Apple receives the coordinates or search text needed for each lookup.
  • Purchases and the free trial are handled by Apple. We never see your payment details.
  • Exports leave your iPhone only when you share them.

Milepost is made by TPS505 Ltd, a company registered in England and Wales (company number 16788028). Our registered office is 244 Desborough Road, Eastleigh, England, SO50 5NH. You can email us at contact@tps505.com.

Under UK data protection law (the UK GDPR and the Data Protection Act 2018), we're the controller of the small amount of personal information we actually receive: emails you send us, and the technical logs needed to run this website. We never receive the information you keep in the app, so you stay in control of it.

What the app keeps

Milepost keeps the information it needs to build your mileage log and work out your claim.

InformationWhat it's for
Trips: start and end times, distance, start and end place names, postcodes and coordinates, the route, whether it was business, personal or commuting, the purpose, number of passengers, your notes, the vehicle, and whether the trip was recorded automatically or added by you. Your mileage log and claim totals. The route is kept as GPS points roughly every 50 metres. Turn off Keep full GPS route in Settings to keep only where each trip started and ended.
Vehicles: the name you give each vehicle and its type (car or van, motorcycle, bicycle). Pricing each trip at the right HMRC rate.
Claim settings: whether you claim as self-employed or as an employee, your employer's rate per mile and, if you add them, your employer's name and the name to print on your PDF. Working out your claim and labelling your mileage log.
Route purposes: the purpose you gave for business trips between two areas. Areas are coarse: the first half of a postcode, such as "LS1", or a position rounded to about a kilometre. Suggesting a purpose the next time you drive that route.
Information that stays on one iPhone: whether you've finished setting up, whether tracking is paused, your reminder setting, the tax year you last looked at, when the last trip was recorded, whether you've unlocked Milepost or started the trial, and the trip being recorded at the moment. Running the app on that iPhone. The trip in progress is saved so it isn't lost if iOS closes the app mid-drive. None of this is synced.

Location, motion and notifications

Milepost asks for these permissions so it can record drives without you opening the app. iOS asks you first, and you can change your answer at any time in the Settings app under Milepost.

Location, set to Always, with Precise Location on

Your drives usually start while your iPhone is in your pocket. With Always, Milepost can wake up when you set off, record the route with GPS while you drive and measure the distance. Between drives it uses the low-power location features built into iOS: visits, significant location changes, and an area of about 150 metres around where you last stopped, so it notices when you leave. Precise Location is needed to measure trips accurately.

Motion & Fitness

Milepost reads your iPhone's motion activity, such as walking or driving, to tell when you're in a vehicle, so trips start and stop at the right time and your battery lasts. The Check for missed trips feature compares the last 7 days of motion activity with your recorded trips. Milepost reads this from iOS when it needs it and doesn't keep a history of it.

Notifications

Only if you turn on the daily reminder. The reminder is scheduled on your iPhone and sent by iOS at 6pm when there are trips waiting to be classified.

If you'd rather not

You can say no to any of these. Without Always location, Milepost can't record drives in the background, but you can still add trips yourself or press Start trip when you drive.

Where your data is stored

On your iPhone

Everything is stored in the app's own storage on your iPhone, which iOS keeps separate from other apps and protects with its built-in data protection.

In your own iCloud, if you use it

If you're signed in to iCloud, Milepost syncs your trips, vehicles, claim settings and route purposes to a private database in your own iCloud account, using Apple's CloudKit. This keeps your log backed up and brings it back on a new iPhone. The information that stays on one iPhone, listed above, isn't synced.

Only your Apple Account can open this private database. Apple stores it under the iCloud terms and Apple's privacy policy. TPS505 can't see, access or download it, and it counts towards your iCloud storage. If iCloud is off, your data stays only on that iPhone, and the app shows this in Settings under Your data.

What we don't do

Purchases and the free trial

The 30-day free trial and the £19.99 unlock are in-app purchases through the App Store. Apple handles payment, and we never see your card details, name, email address or Apple Account. The app checks your purchase with the App Store on your iPhone, using Apple's signed record of it. Apple gives us sales reports that don't identify you.

Exports

PDF and CSV mileage logs are created on your iPhone. They only go where you send them, using the iOS share sheet: for example by email, to the Files app or by AirDrop to your accountant. Once you've shared a file, whoever receives it is responsible for looking after it.

Keeping and deleting your data

Your data stays until you delete it. HMRC can ask to see your records for several years after a claim, so export your mileage log first if you might need it.

This website

milepostapp.co.uk has no cookies, no analytics and no third-party scripts or fonts. It's hosted by Cloudflare, which handles technical information such as your IP address and browser type to deliver the pages and protect the site from attacks, under Cloudflare's privacy policy. We may see total visitor numbers in Cloudflare's dashboard, but we don't use this to identify anyone. Our lawful basis is our legitimate interest in running a secure website.

If you contact us

If you email us, we use your email address and message to reply and help you. Our lawful basis is our legitimate interest in answering you. We keep the conversation only as long as we need it, then delete it, and we don't share it with anyone except the email provider that stores our mail. Please don't send us your mileage log unless you need to and are happy to.

Your rights and complaints

Under UK data protection law you can ask for a copy of your personal information, ask us to correct or delete it, and object to or restrict how we use it. For the information in the app, you can do all of this yourself: everything is on your iPhone and in your iCloud, and you can export or delete it at any time. For anything we hold, such as emails, write to contact@tps505.com and we'll reply within one month.

Milepost is meant for adults keeping tax records and isn't aimed at children.

If you're unhappy with how we've handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to this notice

If Milepost starts handling information differently, we'll update this notice before the app update that makes the change, and change the date at the top.
